Clinic Assistant Guide

What assistants can do for patients at every stage — from pre-op to full recovery

Patient Journey Overview

Stage 1: Pre-op Visit — Registration

When surgery is confirmed

After the doctor confirms surgery, the assistant helps the patient register in the iRehab system. Account data is used for app login and ongoing tracking.

Dashboard → "Add Patient"

Click "Add Patient" in the top-right corner of the doctor dashboard.

Fill in patient information

Required fields:

  • Name
  • National ID (login account)
  • Phone number (login password)
  • Surgery date
  • Diagnosis + Procedure (system auto-selects PROM instrument)

Submit

Upon creation, the system auto-creates a CareEpisode and initial exercise prescription. The patient can immediately log in using their ID + phone.

Stage 2: Post-op Day 1 — Clinic Visit

First post-op wound check visit

This is the most critical clinic interaction. The assistant needs to do three things: teach app usage, guide baseline PROM fill, and provide wound care education.

Suggested flow (~10 minutes)

Teach patient to log in

Open the app URL on the patient's phone → enter ID and phone → suggest adding to home screen. If credentials are forgotten, check the "Info" tab in Patient Detail.

Guide baseline PROM fill

After login, a purple "Baseline Health Assessment" card appears on the dashboard (auto-created by the system). Guide the patient to tap it and answer questions recalling their pre-op condition.

If the card is not visible: The system auto-creates it on Day 0-4. If past the window, create manually: Patient list → PROM icon → select "Baseline" timepoint.

Wound care education

Explain wound care instructions and teach the patient how to upload wound photos via the app for remote monitoring.

Preview rehab exercises

Let the patient know that rehab exercises will start in 2-3 days and will appear on the app dashboard.

Stage 3: Post-discharge — Remote Tracking

Daily dashboard management

After discharge, assistants monitor all patients' recovery via the dashboard. Key features include:

Patient List (Dashboard Home)

The dashboard home shows a summary of all patients at a glance:

  • Patient name, diagnosis, procedure, post-op days
  • Latest VAS pain score + wound photo thumbnail
  • Left border alert: red = needs attention, yellow = needs follow-up
  • PROM score badges: show latest questionnaire scores
  • Action buttons: edit info, create PROM, milestone report

Five tabs covering complete patient information:

Overview

Post-op days, rehab phase, pain trend chart, exercise adherence, PROM scores, wound photo calendar

Prescription

Current exercise prescription with inline editing of exercises, reps, and sets

Assessment

PT assessment form for ROM, strength, functional tests, and phase advancement

History

Timeline of all events: exercise logs, pain reports, photos, PROMs, assessments

Info

Patient info: name, national ID (account), phone (password), email, Patient ID

View as Patient

Click the top-right button to preview the patient's app view in read-only mode

PROM Questionnaire Management

Automatic Schedule

The system auto-creates questionnaires based on surgery date:

Patient list → click PROM icon → select instrument, type, timepoint → create → choose delivery:

Milestone Reports

The system auto-generates milestone reports at Day 3, 7, 14, 21, 28 including pain changes, exercise adherence, and wound photos. The dashboard shows "Today's Milestones" toast with one-click LINE message copy and auto-email delivery.

Stage 4: Rehab Phase — Rx & Progress

Ongoing post-op tracking

Patients follow the exercise prescription in the app at home. Assistants can monitor progress via the dashboard and help doctors adjust prescriptions.

View & Edit Exercise Prescription

Patient Detail → "Prescription" tab → add/remove exercises, adjust reps and sets. Changes take effect immediately.

Progress Monitoring

Patient Detail → "Overview" tab → pain trend (daily VAS), exercise adherence (weekly completion), PROM score trends, wound photo calendar. Multi-day inactivity triggers a red alert border.

Wound Photo Tracking

Patient list photo thumbnails for quick preview. Photo calendar in the "Overview" tab allows browsing by month and comparing photos over time.

FAQ

Can I create a baseline assessment after day 4?

Yes. Select "Baseline" as the timepoint in the PROM creation modal — no time restriction.

What if the patient didn't receive the email or can't operate the app?

Use the QR code for on-site scanning, or copy the link and send via LINE. Pending questionnaires also appear directly on the patient's app dashboard.

What if a questionnaire expired?

The system recreates it after a 7-day cooldown (if still in window). To re-issue immediately, create a new one from the dashboard.

What if the patient can't log in?

Account is national ID, password is phone number. Confirm in Patient Detail → "Info" tab. Note: the ID letter must be uppercase.

How to preview the patient's app view?

Go to Patient Detail page and click "View as Patient" in the top-right corner. This opens a read-only preview of exactly what the patient sees.
